The Mighty Bill of Lading or B.O.L. Report

The Importance of the B.O.L.

Efficient load management and smooth transportation operations are crucial for success in the freight industry. And the Bill of Lading (B.O.L.) is a critical document in this process, serving as a legally binding contract between the shipper, carrier, and receiver. It outlines the terms and conditions of the transportation agreement, acting as a receipt, a document of title, and a proof of delivery. This provides crucial information about the goods being transported.

In the present era of technology, automation has made many operations simpler. So the automatic generation of B.O.L.s through Load Manager TMS can streamline processes and save time. You see, B.O.L.s are automatically created while building a load. So they can be easily printed or emailed directly from the load screen. Additionally, customization is easy.

How to Access your B.O.L.

Once you save your load, a B.O.L. report will automatically be ready for your use. Here is what to do:

  1. Access the B.O.L. Report. Go to the Load Screen for the specific load you wish to work with and click on the “B.O.L. Report” button. A new page will appear, providing you with options to customize your BOL Report.
  2. Modify or enter information. On the BOL Report page, you can modify or enter information in any of the fields as needed. And this allows you to include accurate and relevant details on the BOL, such as shipment-specific instructions or additional information required.
  3. Choose your preferred format. Finally, select your preferred format for the BOL. You can choose to print the BOL, email it directly from the Load Manager platform, or download a PDF version.

How to Customize the BOL

See an item on the BOL you want to change? Customizing your Bill of Lading (BOL) within Load Manager is a breeze. Allowing you to tailor it to your specific needs. Here’s a step-by-step guide on how to do it:

  1. Two Terms and Conditions Options. Choose to use the preset terms and conditions for your BOL or create a template with your own BOL terms. Both BOL formats will be available from your load screen for your convenience.
  2. Automate Items Listed. Determine whether you want the items listed on the BOL to be automatically generated from the Accessorials and Commodities tables in the Load screen or if you prefer to input them manually. Choose the option that suits your workflow best.
  3. Carrier Name Display. Decide whether you want the carrier’s name to appear on the B.O.L., or if you only want the driver’s name to appear.
  4. Preset Email Subject Line. If you’re sending a BOL by email using Load Manager, then you can automatically set the subject line text of the email. So this feature enables easy identification of BOL-related emails.
  5. Dispatch Fee. When dispatching on behalf of a company for a dispatch fee, the BOL will show the carrier’s names on the BOL.

By following these steps, you can effortlessly customize your BOL within Load Manager. Thus ensuring that it aligns with your specific requirements and provides comprehensive information for your shipping operations.

Load Manager TMS has recently launched a new load management tool to make it easier for dispatchers and administrators to track and manage late-arriving loads. This feature provides greater visibility and accountability for managing loads and dispatching while also helping to track carrier or driver performance. Now that your team can easily see late loads, your ability to respond to potential problems is more significant.

The “Arrived Late?” Checkmark Option

The new feature is available on the load screen, where dispatchers and administrators can find a checkmark option called “Arrived Late?”. This option can be manually checked or automated using Load Manager’s Mobile Dispatch or GPS options. If a load arrives late, the system will note this on all relevant reports for “Sales” and “Sales Details.” Now, when you create Report, you will see which stops were late and how many.

Automated Time Entry Format

When using automation, you must enter the time with a specific format. Specifically, the arrival time should be entered in a 0000 or 00:00 format. Do not use a time range. This ensures accurate tracking of late arrivals and a smoother load management process. If a driver arrives late, the “Arrived Late?” checkmark will be marked automatically by the system with the arrival time entered.

Benefits of the New Feature

Load Manager’s new feature streamlines the load management process, giving your team a quick and easy way to track late-arriving loads. By easily seeing potential issues, dispatchers can take appropriate action to resolve them. Consequently, this improves load management efficiency, reduces costs, and enhances customer satisfaction.

To view how many loads arrived late, go to the “Reports” section of Load Manager TMS. Choose either “Sales” or “Sales Details.” Then select your reporting criteria and choose “View Report.” In the totals section of the report, you will see how many loads are late in red, as seen below. Each late arriving load will be marked with an asterisk (*).

Visibility and Accountability

One of the key benefits of this feature is that it provides greater clarity and accountability for load management. Dispatchers and administrators can easily see which loads are arriving late and take immediate action to resolve any issues. This level of clarity can also improve the overall performance of carriers and drivers and the dispatching process itself in two ways: First, when in the load screen, users will now see that a load was late, providing them an opportunity to address the matter in real time. Second, administrators and supervisors can now see the trends of late-arriving loads prominently on “Sales” and “Sales Details” reports. Helping them find and address issues before they significantly impact revenue.

Tracking Carrier or Driver Performance

Also, the “Arrived Late?” feature can track carrier or driver performance. By monitoring late arrivals, dispatchers and administrators can identify patterns and trends and take action to improve performance. This can lead to better driver retention, improved carrier relationships, and better overall load management.

To run a report on a specific carrier or independent driver. Select the “Reports” section on your Load Manager TMS. In “Sales” or “Sales Details,” choose the “Carrier/Driver” option in the “Group By” section. Select your other report criteria. Lastly, choose the carrier/driver or range for whose performance you wish to see. Then click “Run Report.” This report will show you the specific loads each carrier or independent driver trucked and the percentage of late loads. This invaluable tool will assist you in more accurate load deliveries.

Dispatch Services Demo for Tyris’ Class

Load Manager TMS software is a dispatch management system that helps dispatchers manage a load’s entire life cycle. In a recorded presentation for a friend’s freight broker and dispatch services training class, Scott from Load Manager provided a step-by-step guide on using their system to onboard a new carrier and dispatch a load. Starting with carrier onboarding and ending with the final settlement.

Carriers

Scott recommends accessing the Carrier menu in Load Manager’s system and clicking “Add Carrier.” Here, the dispatcher can enter the carrier’s MC number, DOT number, and other contact information. The system also allows for attaching documents and sending email communications. If needed, Load Manager also supports digital signatures.

Once you have entered the carrier’s information, the dispatcher can charge the dispatching fee as a percentage or a flat rate. The next step is adding a new load to the system, including the shipper, pickup, delivery dates, appointment times, and delivery locations. The system also allows for adding accessorials, such as lumper fees for loading heavy items.

Dispatching and Tracking

After saving the load, the dispatcher can dispatch it to the driver via email or mobile rate. The latter option allows the driver to send their location via GPS so that the dispatcher can track the load’s progress. Throughout the load cycle, the dispatcher can create reports to show the loads dispatched for a particular carrier and the related dispatch fees.

For dispatchers looking to move into brokerage, Load Manager also supports this change. The dispatch fee should be zero when entering a carrier, as the carrier is now considered the vendor. The dispatcher can still use Load Manager’s system to manage their dispatch services while brokering freight.

Our new Multi Companies Profiles are here!

Load Manager TMS now supports multiple company profiles for each company- whether different company divisions, DBA, or business names, you can directly upload a different logo and contact information for each profile. When building a load, select which company the load is made under, run reports, and keep track of sales and productivity for each company.

1: Adding a Bill From Company

  1. Log in to your Load Manager TMS account.
  2. From any screen in Load Manager, click on “Settings.”
  3. On the submenu, select “Bill From Companies” from the options.
  4. If you do not see the “Bill From Companies” option, click “Configuration Options.”
  5. Scroll down to the “Multi-Company Settings” options and check the box next to “Activate Bill From.”
  6. Click “Save.” Then the “Bill From Companies”
  7. Select the “Add Bill From Company” button for the “Bill From Companies” page.
  8. Please enter the company name you want to add and upload their logo.
  9. Enter the company’s contact information, including address, phone number, and email address.
  10. Click “Save” to save the new company profile.

2: Assigning a Bill From Company to a Load

  1. Go to the “All Loads/ My Loads” screen
  2. Click on “Add Load”
  3. Scroll down to the “Bill To” section, where you will see the “Bill From” option.
  4. Select the drop-down menu to choose the appropriate Bill From Company for the load.
  5. Once you have selected the Bill From Company, the company’s logo and contact information will appear on the load reports.

3: Viewing and Modifying Company Profiles

  1. Go to the “Settings” screen in Load Manager.
  2. Select “Bill From Companies” from the options.
  3. Click on the company profile you want to view or modify.
  4. To modify the company profile, enter the updated information or logo.
  5. Click “Save” to save the updated company profile.

4: Running Reports Based on Company Profiles

  1. Go to the “Reports” screen in Load Manager.
  2. Select “Sales Detail” from the options.
  3. Choose the appropriate date range and other options for the report.
  4. Under “Bill To Company,” select the Bill From Company you want to include in the report.
  5. Click “View Report” to generate the report.

5: Displaying the Bill From Company Column

  1. Click on the “Settings” button in the upper right-hand corner.
  2. Select “Configuration Options” from the options.
  3. Scroll down to the “Customize “My Loads” Columns” as seen below and select the “Bill From” option.
  4. Click “Save” to save the changes.
  5. The “Bill From” column will now be displayed on the “My Loads/All Loads” screen.

We are excited to announce that our new User Roles and Permission Management is here! This new feature provides you with even more flexibility and control than before. Since Load Manager TMS started, we have made it easy to choose the permissions your users can have based on different preassigned roles. Now you can customize what permissions are assigned to each Role using our new user roles and permission management settings.

To customize your user roles and permissions, along with who can change or modify a load based on status, go to Settings>> Load Status. You will see two tabs, Permissions and Load StatusWith Permissions, customize any role in the system to meet the level of authorization and permissions you want.  

  1. Select the Role you want to see permissions for
  2. Modify permissions by selecting or deselecting the options below
  3. Your changes will be saved automatically.

With the Load Status set, which loads, a user can modify based on the Load Status.  

  1. Select the Role you want to see the Load Status permissions for
  2. Modify permissions based on which load you want the Role to be able to modify.
    1. Unchecked load status –  Role cannot edit a load in this status. Instead, it will say, “View only, Edit not allowed.” 
    2. Checked load status- Role can edit and modify load.  
  3. Your changes will be saved automatically.
